Refund Policy
Effective May 24, 2026
ClosingDesk's service fee covers deed preparation, notary coordination, and county recording coordination. This policy explains when the fee is refundable and what happens to any pass-through county fees if your order is canceled.
1. Full refund (before we start work)
You can cancel and receive a full refund of the service fee as long as we have not yet started deed preparation. In practice this means within the first business day after you pay, as long as you have not yet clicked "Approve" on your draft deed.
To cancel, email support@closingdesk.io with your order number. Refunds are processed back to the original payment method within 5-10 business days.
2. Partial refund (work has started, but no notary session yet)
If we have already prepared your draft deed and you've reviewed it, but you cancel before scheduling a notary session, we refund $149 of the $199 service fee ($50 covers the time we invested in drafting and the legal-description lookup).
3. Notary fee partial recovery (signing scheduled but canceled)
If we have scheduled a notary session and you cancel before signing happens:
- If the cancellation is more than 24 hours before the scheduled session, we refund $99 of the $199 (the cancellation fee covers the notary-platform booking + our admin time).
- If the cancellation is within 24 hours of the scheduled session, the service fee is non-refundable because the notary fee is already incurred on our side.
4. No refund after recording
Once the deed has been submitted to the county recorder, the service fee is non-refundable, even if the recording is delayed or rejected by the county. If the recording is rejected for a defect (formatting, missing signature, missing required companion form, etc.), we will work with you to fix and resubmit at no additional charge.
5. County fees + transfer taxes
County recording fees and state transfer taxes are paid through to the county at cost. If you cancel before we submit to the county, no pass-through fee was paid and there is nothing to refund. If you cancel after submission, the county's refund policy applies (most counties do not refund recording fees once submitted).
6. Cancellations we initiate
We reserve the right to cancel any order if (a) information you provided was materially inaccurate or incomplete; (b) we discover the transfer is fraudulent, illegal, or otherwise impermissible; (c) your state's laws do not permit non-attorney deed preparation and we accepted the order in error; or (d) the property has title issues we discover during prep that put the transaction beyond what our self-help workflow can support.
If we cancel an order, you receive a full refund of the service fee (minus any pass-through amounts already incurred at the county) regardless of how far the work has progressed.
7. Chargebacks
If you initiate a chargeback through your card issuer instead of contacting us first, we may decline future orders from you. We will respond to chargebacks with documentation of the order and work performed. Most chargebacks can be avoided by emailing us first and resolving the issue directly.
8. How to request a refund
Email support@closingdesk.io with:
- Your order number (the first 8 characters of your transaction ID, visible on your status page and confirmation email)
- The reason for cancellation
- The email address used at intake
We respond to refund requests within 2 business days. Approved refunds are processed back to the original payment method within 5-10 business days.
